Example Email Text
Hope you're well and looking forward to the new season. I'm writing to introduce myself as your allocated Liverpool Rugby Referees liaison contact for XYZ RFC. I will give you a call during the week for a chat and to arrange a time to come and see you and some of the club stakeholders so we land this initiative in a way that benefits all involved.
My Role
I'll be your main point of contact with Liverpool Refs throughout the season (not for fixtures etc, that's still by the normal route, so nothing is changing in that remit ). This isn't about monitoring or checking up on you - it's about building a positive partnership that benefits both the club and our match officials. My job is to:
- Be available if you have any referee-related questions or concerns
- Provide practical support and resources to help create great match day environments
- Work with you to ensure everyone has the best possible rugby experience
- Feed back positive examples of what Hoylake does well (we want to celebrate good practice!)
What We're Trying to Achieve
The rugby landscape has changed, and we're all seeing more pressure on match officials. Rather than just reacting to problems after they happen, we want to work proactively with clubs like yours to create environments where respect is the norm and everyone enjoys their rugby.
Practical Support Available
I've attached some materials that might be useful:
Club Statement of Support - a simple document affirming your commitment to referee welfare (just needs committee signature)
Respect posters - ready to print and display around the club
Compliance checklist - practical steps to meet RFU obligations under Regulation 19.4.9
These aren't bureaucratic requirements - they're tools to help you demonstrate what I know XYZ RFC already believes in.
Next Steps
Would you be happy to nominate someone as your Club Referee Liaison Contact? This is usually your fixtures person, but can be anyone willing to work with me throughout the season. It doesn't need to be time-consuming - just someone I can communicate with about match day arrangements, any concerns, or positive feedback.
I'm hoping to arrange an informal chat with you and your liaison contact in the next few weeks - maybe over a coffee at the club? Nothing formal, just a chance to discuss how we can work together and answer any questions.
The Bottom Line
Hoylake has always been a club that does things properly, and I want to support you in maintaining those standards. This initiative is about partnership, not bureaucracy - helping each other create the best possible environment for rugby.
Let me know who you'd like as your liaison contact, and we can arrange to meet up soon.
Looking forward to working with you this season.
Best regards,
P.S. - All materials are also available on our Pitchero site if you prefer to download them directly.
